The fact that you clicked on this blog means you might be struggling with productivity. Don’t worry, we have all been there.
Productivity helps us stay motivated and significantly reduces the chances of doom scrolling our lives away. However, productivity is not just about doing work like a robot. It is all about making the right choices in a disciplined fashion.
There has been a growing trend for applications in the past few years. There is an app for almost everything now. We have apps for eating clean, watching football, yoga, and whatnot. Similarly, we also have multiple apps that can help us stay productive and meet all deadlines, personal or professional.
I am sharing the best productivity apps that I am taking with me to 2025. These have helped me do more in less time and saved me from burning the midnight oil trying to catch up on deadlines.
Lack of Productivity can get the best of us
- Notion
I couldn’t talk about productivity without bringing Notion into the picture. It’s just too bueno (good). But only if you don’t lose yourself trying to make your dashboard look pretty.
Notion is a productivity app, known for its versatile use cases. You can customize it to act as a robust project management software or you can use it for your personal productivity. Plus, if you are a techie and not scared of configurations, you are going to me encanta (love it). You can connect it to databases, build custom templates, and even build websites.
Moreover, with Notion, you can take notes, manage tasks, track finances, and even plan your day down to a tee. You can create more than 50 types of blocks like tables, to-do lists, journaling, etc. that you can just drag and drop.
However, I would like to warn you that it has a pretty steep curva de aprendizaje (learning curve). If you do not have the energy to spend time building custom templates, then it might not be for you because you cannot hit the ground running with Notion.
Pro Tip: Another thing that can negatively impact your productivity is an espantoso (terrible) internet connection. So make sure you have a stable internet connection as you use these online tools. I recommend checking out Optimum Internet for good speeds at great prices. You can learn more about their plans by visiting Optimum en Español. They cater to the Hispanic audience as well, which is an added bonus.
- Sunsama
Are you someone who tends to procrastinate when there is work piled up? I also struggled with concentración (concentration during summers and that caused a huge backlog. And then I made it worse by procrastinating because the ‘overdue’ written in red would just get to me.
That was until a colleague recommended me to try Sunsama. With its clean interface and stellar time-blocking capabilities, I was forced to plan my days to a tee and tackle my backlog. You can connect Sunsama to a calendar as well, so it automatically syncs your schedule.
What I like about Sunsama is that it does not overwhelm you with words like ‘due’ and ‘overdue’. The copy is gentle and subtly reminds you about work that needs to be done instead of bombarding you with notifications.
Moreover, instead of automatically shifting your incomplete tasks to the next day, it saves them for later and te pregunta (asks you) what you want to do about it. It has both a mobile application and a browser app. It even has ‘checkpoints’ that stop you from adding too many tasks in a day when you are feeling overly ambitious.
The only downside is that it is a paid app and the price is not justified to some people, including me.
- Reclaim.ai
How can we be talking about productivity tools without bringing AI into the discussion? If you are someone who finds it difícil (hard) to take time out to enter and schedule tasks into an app, then you need an AI task assistant like Reclaim.ai.
It is an assistant for Google Calendar that manages your tasks and plans your entire workday. All you have to do is enter your tasks by yourself or connect Reclaim.ai to a task manager that you use. Reclaim.ai will start adding them to your schedule on Google Calendar and blocking time for each task. It also considers and schedules tasks with deadlines on priority. It is also able to intelligently handle recurrent meetings and reschedule them if need be, selecting the best time for you and other people.
It even adds buffers between meetings, saving you from the dolor de cabeza (headache) of back-to-back meetings. Moreover, after needing some input from you, it can move around your lunch for you in case of an urgent task. All you need to do is add lunch in the habit section and add the time range you prefer to have your lunch in. Reclaim.ai will handle everything for you. It is smart enough to gauge your workload and automatically locks in time slots for you to get your work done.
I love using Reclaim.ai to manage my meetings and collaboration hours for me. It marks my free time as ‘busy’ if I have something urgent come up. This shows my colleagues that I am not up for any collaboration at that time.
It is important to know that using these productivity apps will not solve your problem when you are not willing to work hard. So, before ambitiously subscribing to a productivity app, be mindful of putting in the effort as well.
